There are two rain locations for the AthFest Outdoor Stages for 2011 and they are the Morton Theatre and the 40 Watt. If the event is rained out as many of the bands as we can accommodate from the Pulaski Street Stage will play in the 40 Watt. Bands from the Lumpkin Street Stage will move into the Morton. Bands from the KidsFest Stage and will move into the Highwire Lounge connected to Trappeze. The Club Crawl in the downtown venues will be held rain or shine and the wristbands for the Club Crawl will still be valid and are non-refundable.
AthFest staff will be monitoring weather conditions using internet weather forecasting sites to make decisions about the safety of performers and the public in the outdoor stage areas. The decision to stop, delay, cancel or move a performance due to weather conditions will be made by the Director with input from the stage technical directors. Public Safety is our prime concern and we pledge to make sound yet conservative decisions.
Stopping and delaying a show due to weather is a real possibility during summer outdoor events. If a show has to be stopped due to a sudden downpour of rain, efforts will be made to continue the show with the band that was on stage at the time. Time lost due to rain will be made up by shortening later bands’ sets. If the delay is long enough, the cancellation of acts will be considered and getting the show back on schedule will be the Director’s main focus with priority given to headliners. Any bands that are cut short or cancelled will still be paid and given the same benefits as other bands that were able to perform.
If a long enough period of time goes by and weather conditions do not look like they are going to improve, we may decide to cancel all performances on both stages. In this situation, the AthFest Director will contact the Rain Location Manager on call and request that they call in the necessary staff to run the show and open the doors to AthFest staff and bands.
TERMS:
AthFest would like the rain locations to accommodate as many bands and audience members of all ages as possible. However, since the venues are independent of AthFest, we will respect their judgment about the number of bands that they can accommodate, the number of patrons they will allow in the venue, and the ages of those in attendance.
AthFest can provide engineers and stage hands if needed for the rain venue, but the venue has the option use their own staff. AthFest will pay all reasonable costs for production and the venues will keep any revenues made from sales of their products. Space will be provided by the rain venues for AthFest and the AthFest bands to sell their merchandise and the rain venue will not be allowed to take a percentage of those sales.
AthFest will be responsible for paying all of the bands the amount originally contracted. AthFest also agrees to pay a reasonable sum for renting the facility due to rain cancellation.
